Executive committee meeting 18 Aug 07 report

The meeting started around 10:45 a.m. at Chiyowonet office on Saturday 18th August 2007.

1. Meeting attendance

 

The Excom members came up with the following resolutions:

 

* Absenteeism to be discussed in the next Network meeting: but the members agreed that: people who miss meetings should be responsible and answerable.

* Respects to meeting sessions, disciplinary actions to be taken against misbehaving during meeting sessions

* The need of all the Excom members to attend the monthly Network meeting with the intention of increasing the strength of the Network meeting. This came up after the notion that some times some of the members sent by their groups to represent in the network meeting have no or little contribution to the discussions about the network progress. Hence add little in put to the Network concerns. We need to grow so the experience and ability of the Excom members can help to boost this as they can help discuss issues raised on spot. If that is supported then they shoulds till have alternation of representatives from their groups as well as they have to attend every meeting. Hence we should think of giving them the transport fair and little food budget be added for them. What do you think about this?

 

2. Operation of leaders: the excom members urged the officers and the excom members to play their roles effectively and efficiently. For any misconduct, the leaders should be responsible and answerable. The committee will require them to explain, this includes: not giving information early in case of absence or delay in any Network occasion.

 

3. Delegation of Power: the officers and excom members are responsible to giving directions, instructions =orientation to the new officers and depute officers for ease operation. The excom meeting will hold a short meeting after the Network meeting to discuss about jobs’ and responsibilities descriptions of the deputes for ease operation of the Network activities.

4. Information from London: was reported by Donatian Marusu and all the Excom members were pleased and agreed to check the mails by Wednesday for operation plan of July and August.

 

AOB:

 

-The excom members commented that the Network members should keep on being Truthful, trustful and responsible to the Network activities at all levels: in deeds and sayings.

 

-payments to the attended Excom members in this meeting were paid by Donatian Marusu and will be reimbursed by Yovita when is back.

REPORT OF THE 7^TH AFCONET MEETING

28^TH JULY 2007

CARE INTERNATIONAL

Start: The meeting started around 9:30 a.m. preceded by registration and warm up tea.

Welcome note and announcements: the chairperson had an opportunity to welcome all the members and spontaneously made two event announcements:

1. Congratulations   to Mary Mabhaya of Tawosu for the birth of her beloved baby boy
2. Regret to Jackson   Millengo of Chiyowonet who got an accident last week on his way to Mara   region for his group’s activities. The regrets were also extended   to his beloved wife Yovita Makoko who is the treasurer of the Network

Voting on ground rules: the members agreed to strictly observe the meeting ground rules as follows:

• Mobile phones to   be switched off during the meeting sessions and violation of this one   is compelled to leave the meeting room and his/her group considered   absent
• Interruptions during   meeting sessions not allowed –timekeeper should monitor this
• Unnecessary discussions   during meeting sessions not encouraged –timekeeper should monitor   this
• Respect to everyone’s   ideas to receive high remarks –officers to monitor this

Attendance: 

• 30 people   attended the meeting while 24 were group’s representatives.
• 4 groups   did not send representatives (Twafaha, Ciso and Poverty Fighters Group)

TOPIC PRESENTATION:

On Gender Analysis and the Policy of a Girl-child Development

Group discussion:

• 4 groups of 4 people   each were made for discussion task
• To Discuss on:    The Responsibilities of a Girl child / Real situations and strategies   to overcome.

Group presentations:

Girl-child Responsibilities:

• Home/child/family   care
• Production activities
• Home activities

Real situation:

• Large number of   home activities carried by a girl child
• Most of family caring   activities carried by a girl child
• Though men are family   heads, but still women are burdened with many activities

Strategies to overcome

• Division of job/responsibilities
• Cooperation and   enhancing each other
• Mass education on   gender balance and respect to human kind

Debriefing of the last meeting:

Minutes of the 30^th June 2007 meeting were printed by Pascal Maziku and distributed to the members at the beginning of the meeting for checking and give reflections later

Reflections:

• Communication during   exchange visits is still unreliable
• Exchange visits   payments to be issued in line with the prescribed plan i.e two meetings   in every two months, that every group should observe this to reduce   congestion of payments in every month e.g. some groups come with more   than 3 exchange visits reports for payments in one month.

Excom Meeting Report:

• Furaha presented   feedback of the Excom meeting, and the questions raised were responded   accordingly.
• The newly elected   deputes by the Excom were officially announced and commenced their duties

EXCHANGE VISIT REPORTS:

1. NICE Group:   represented by Jacka Mwambi, did not visit any group in this month
2. Woyona Group:   represented by Scola Mgini & Joyce Masami, did not visit any group   in this month
3. Vumwe Group:   represented by Mwanahamis Mvungi, did not visit any group in this month
4. Moms in Touch   Group: represented by Grace Nuru, did not visit any group in this   month
5. YLRF Group:   represented by Benjamin Mngolwa & Steven Milambo, visited two groups   in this month: a) Visited Sageta Group and learned how they help OVC   on health and maternal education b) visited Moms in Touch Group and   learned how they help OVC on VCT services
6. CWCA Group:   represented by Omari Said, visited Woyona Group and learned how to work   by involving the Local Government Authorities
7. Tawosu Group:   represented by Cresensia Aloyce, did not visit any group in this month
8. Wolisu Group:   represented by Ismail Mahamudu and two guests (Mary Otaru & Martha   Simbila = from Institute of Social work who were happy with the network   activities), did not visit any group in this month
9. Iyana Group:   represented by Simon King’ung’e, visited Pofideso Group and learnt   how they offer entrepreneurial skills & HIV/AIDS education to OVC
10. Tukolene Group:   represented by Joyce Mweigule, visited Redhouse Group and Learned how   they offer early education and care to OVC
11. Chiyowonet Group:   represented by Emmy Kakwaya, visited Chakupau Group and learnt how they   offer HIV/AIDS education through drawing art
12. Uzima Group:   represented by Vedasto Oganda, did not visit any group in this month
13. Socac Group:   represented by Tabu Sadan visited 3 groups in this month: a) visited   Pofideso Group and learnt how they support disabled with necessary life   needs b) visited YLRF Group and learnt how they incorporate neighbouring   committees on the preparation of seminars/workshops c) visited MSWS   Group and learnt how they equip the youth with vocational skills
14. Tupendane Group:   represented by Amina Mfungo, visited CWCA and learnt how they give legal   assistance to OVC and widows for free. She also learnt how laws could   be used to balance social issues. She also enjoyed their generosity   and comfortable office. She suggested if CWCA group could invite the   network members to attend the court session when it happens they hold   defence cases against chid abuse
15. Siyope Group:   represented by Tung Weston, did not visit any group in this month
16. Redhouse Group:   represented by Loveness Gongo, visited Good Samaritan and learnt how   they offer Evening English courses to OVC and how they prepare working   camps by involving outside Volunteers
17. Sageta Group;   represented by Angelico Anchali & Furaha Dimitrios, did not visit   any group in this month
18. Chakupau Group:   represented by Jumanne Ngayama, visited YLRF and learnt how they give   HIV/AIDS education, children assistance and good systems records keeping
19. Yopac Group:   represented by Jesca Kagunila & Pascal Maziku, did not visit any   group in this month
20. Upendo Group:   represented by Damas Paul, visited a group but report not available
21. Pofideso Group:   represented by Shaban Madega, visited 4groups in this month which are:   a) YLRF and learnt good way of job distribution and team work b) Iyana   Group and learnt how they run their sustainable development plans and   how their workers are equipped with group’s activities awareness c)   Socac and learnt how they offer early childhood care and education to   OVC d) Chimaba Sanaa Group and learnt how they involve community in   social activities and education by using performing art
22. Chimaba Group:   represented by Azaria Mjengwa, visited Pofideso group and learnt how   they take care of environment by involving the community
23. MSWS Group:   represented by David Mussa, visited Socac and learnt how they take care   of OVC, meet the community by involving Local Authority and how they   help the youth to access post primary education
24. Good Samaritan   Group: represented by Richard Mwendilemo, did not visit any group   in this month
25. Preventive Health   Care Frontiers Group: represented by Violet Yimbo, exchange visit   report was not available

Others:

• Project proposal   –discussed and should be improved for submission
• Office for Network:   Good Samaritan Group showed readiness to offer a chance to host Network   activities in their centre
• Exchange visits   were half paid; email use records and some other expenses were not paid   due to Yovita’s absence under the reason of taking care of her husband   Jackson Milengo
